We are a dedicated group of parents and local community members working together to support and enhance the educational experience for all students at Oster Elementary School. Our team is committed to organizing events, fundraisers, and programs that benefit the school and students.

Oster HSC Board – Roles and Duties
President
The President leads the HSC, presides over all meetings, and guides the Board in planning events and activities for the school year.
VP of Operations & Fundraising
Supports the HSC by building structure, optimizing processes, and coordinating fundraising initiatives.
VP of Communication & Marketing
Leads HSC communication and marketing efforts to engage families and the community.
VP of Events
Oversees planning and execution of HSC events to create memorable experiences.
VP Technology
Ensures smooth operation of HSC digital tools, platforms, and communications.
Secretary
Maintains HSC records, communications, and meeting documentation.
Treasurer
Manages HSC finances, including tracking income and expenses, budgets, and reports.
Auditor
Ensures HSC financial integrity through regular audits.
President — Responsibilities
- Attending Union School District Board and PLC meetings
- Sending meeting notices and preparing agendas
- Setting the annual budget with Board input
- Coordinating HSC event dates with the Principal
- Fielding inquiries from administration and staff regarding budgets and activities
VP of Operations & Fundraising — Responsibilities
- Implementing and maintaining operational guidelines
- Coordinating logistics for HSC events and activities
- Proposing and organizing fundraising events
- Creating and managing corporate sponsorship proposals
- Partnering with the VP of Events to execute fundraising-related activities
VP of Communication & Marketing — Responsibilities
- Managing teacher and parent outreach
- Developing marketing strategies to promote events and programs
- Coordinating with the IT/Technology team to implement communication tools
- Organizing volunteer recruitment and appreciation efforts
- Acting as a public relations liaison for the HSC and school community
VP of Events — Responsibilities
- Recruiting and supporting event leads
- Coordinating logistics, timelines, and expectations with event leads
- Managing event budgets and day-of operations
- Partnering with the VP of Communication for event promotion
- Liaising with vendors and external partners when necessary
VP Technology — Responsibilities
- Managing and updating the HSC website and digital platforms
- Supporting WhatsApp groups and virtual communications
- Implementing and maintaining technology tools for events and volunteer coordination
- Troubleshooting technical issues for HSC events and communications
- Partnering with other board members to streamline digital operations
Secretary — Responsibilities
- Preparing agendas and sending them to the President and Principal
- Taking accurate meeting minutes and posting them to the HSC website
- Managing HSC news, calendar, and social media updates
- Acting as the primary communication point with the Principal for HSC activities
- Supporting other board members with documentation and content for social media
- Creating and designing flyers for events
- Updating the website with event information, volunteer sign-ups, and other relevant content
Treasurer — Responsibilities
- Receiving and depositing funds and reconciling accounts
- Managing multiple accounts including DHH, Science Camp, and savings accounts
- Supporting event chairs with financial tracking (Harvest Festival, Education Fund, Science Camp)
- Presenting financial statements at meetings and preparing annual reports
- Coordinating with the tax preparer and maintaining liability insurance
Auditor — Responsibilities
- Auditing HSC accounts twice yearly (July 31 and January 31)
- Submitting written audit reports to the organization by October 1 and April 1 each year
